Emailing Guests a Link to a Recorded Meeting
The steps below are instructions on how to send an email containing the recording link and the guest options for viewing the recording.For Hosts: How to Send a Link
- Go to the GatherPlace website and click on the My Account tab.
- Click the My Recordings button on the My Account page.
The My Account page with the "My Recordings" button circled. - Click the Email Me link to the right of the recorded meeting you want the guest to play.
The Available Recordings page with the "Email Me" link circled. - Open the email sent to you by GatherPlace titled 'GatherPlace Recording: (meeting name)', change the salutation and forward it to your guest(s).
For Guests: Options for Viewing a Recording
- Once the guest receives the email with the link, he/she can simply click the link in the message and a web page will open with three options as shown below.
- The first option, labeled View in Browser, is the preferred option.
If the guest will be viewing many recordings or already has the GP4 client installed, they can select the View in GP4 option.
Note: The guest can always select the Install GP4 option first and then the View in GP4 option once GP4 is installed on their computer. - Once the Web Conference Viewer window opens, there will be controls at the top to allow the guest to pause, resume, jump forward, or jump back in the recording. Note: To be able to use a link to access recorded meetings, guests must meet these minimum requirements:
- A Java enabled browser with Java 1.1 or higher to view recordings without audio.
- A Java enabled browser with Java 1.3 or higher for recordings with audio.

Downloading a Recorded Meeting File for Guests
The second option is for the host to download the recording and then either email it to them for playback or post it to a video sharing site such as YouTube.Click here for instructions on how to download a recorded meeting.
